The Approach
Conference Photography at ExCeL London
ExCeL London is one of the UK’s largest conference venues, hosting major conferences, exhibitions and multi-day corporate events, often across multiple halls at once. Events here regularly involve thousands of delegates moving between keynote stages, exhibition areas, breakout rooms and networking spaces.
The scale and pace are very different from smaller venues, so the photography needs to show more than isolated moments. It needs to communicate the size, energy and structure of the event, while still capturing the people and details that give it character.
I’ve photographed conferences and corporate events at ExCeL London, working across keynote sessions, breakout rooms, exhibition floors and networking areas. The aim is always to document the event naturally, without interrupting the flow of the day.
What’s Covered
Working Across a Large-Scale Venue
Conferences at ExCeL London rarely happen in one place. Keynotes, panels, breakout sessions, exhibition areas and informal networking can all run alongside each other, often across spaces that feel completely different in scale, light and atmosphere.
The photography needs to reflect the full event, not just the main stage. That means documenting the speakers, the audience, the conversations, the brand presence, the scale of the venue and the quieter moments that show how the day actually felt.
Working across spaces and schedules
ExCeL London is a large venue, and the distances between event spaces matter. Schedules can move quickly, with important moments happening in different areas at the same time.
For an event of this scale, the work starts before the doors open, with a clear understanding of the layout, the running order and where the most important moments are likely to unfold.
Lighting changes significantly across the building too. Conference rooms are often dark, with strong LED screens and stage lighting, while exhibition spaces tend to be brighter, wider and more open. Creating a consistent set of images across those environments takes experience, quick judgement and the ability to adapt without drawing attention.
Discreet coverage around speakers and delegates
Events at ExCeL London are usually tightly scheduled, with speakers, organisers, sponsors and delegates all working to a plan. Photography needs to fit around that naturally.
During keynotes, panels and presentations, movement is kept minimal, with close attention to sightlines, audience experience and the flow of the room. The aim is to document the event clearly and professionally, while allowing the conference to run exactly as it should.
Images for PR, Marketing and Event Promotion
Conference images are often needed for more than one purpose. Press coverage, social media, internal communications, sponsor reporting, future promotion and website content may all rely on the same set of photographs.
At a venue like ExCeL London, where multiple spaces can be active at once, it helps to plan delivery around how the images will actually be used.
Images are typically useful for:
• Press and media coverage
• Social media during and after the event
• Website and marketing content
• Sponsor and stakeholder reports
• Future event promotion
Selected images can often be supplied during the event for PR, press or social media use, with the full edited set delivered promptly afterwards. The process is kept straightforward, so organisers, agencies and marketing teams can access and share the images quickly.
Working Together
Experience and Planning at ExCeL London
My experience at ExCeL London includes photographing large-scale conferences for international organisations, covering multiple stages, exhibition areas, branded spaces and high delegate numbers across full event days.
Working at this scale is about more than being in the right place. It requires a good understanding of event flow, the ability to read the room, and the judgement to move quickly when needed without becoming a distraction.
Planning your ExCeL London event photography
Every event has its own priorities. Some need fast PR images, some need strong sponsor coverage, some are focused on speakers and audience engagement, and others need a broader visual record of the full event experience.
Coverage is always stronger with a clear run sheet, access notes and an understanding of how the photographs will be used. With that in place, the photography can work naturally around the event, capturing the right moments while keeping the day running smoothly.

FAQs
Frequently Asked Questions
How quickly are images delivered?
Selected images can often be delivered during the event for press, social media or quick marketing use. This can be built into the schedule around key moments such as keynote speakers, panel discussions, sponsor activity, awards, networking or guest arrivals. The full edited set then follows promptly after the event.
Do you cover multi-day conferences at ExCeL London?
Yes. Coverage can be arranged for single-day or multi-day conferences, including different schedules, rooms, speakers, exhibition areas, networking events and evening receptions. For multi-day events, selected images can also be delivered throughout the conference where needed.
Can you cover multiple areas at once?
Yes. For larger venues such as ExCeL London, coverage is planned around the event schedule, key speakers, important moments and the areas that matter most. Alongside the scheduled elements, I also photograph naturally across the venue, covering delegates, branding, exhibition stands, networking and atmosphere. This gives you a fuller record of the conference without making the photography feel overly staged or rigid.
Can you work from a schedule or brief?
Yes. A clear schedule or short brief is useful for planning the key parts of the day, including speakers, priority rooms, sponsor requirements, awards, networking and any important people who need to be photographed. It does not need to be overly detailed. A few clear priorities are usually more useful than a long shot list, while still leaving space for natural, responsive coverage throughout the event.
Can you cover evening receptions or networking after the main conference?
Yes. Coverage can continue into drinks receptions, dinners, awards, networking events or evening entertainment. This is often useful at ExCeL London, where the main conference schedule may continue into a more informal evening event.
